Definition

The complete cost of acquiring and operating a technology system over its lifecycle, including license fees, implementation costs, internal team time, integration development, training, ongoing maintenance, and the cost of eventual replacement as opposed to the headline license cost alone.

A technology decision evaluated only on license cost will consistently underestimate its true financial impact.

TCO calculations routinely reveal that implementation and integration costs alone equal or exceed the first-year license cost — and that the person who approved the license had no idea the full cost was this high.

Indicators

• A software purchase was approved based on annual license cost without calculating implementation, training, or integration costs.
• A technology investment has cost significantly more than budgeted because non-license costs weren't estimated at selection time.
• No technology purchase above $10K annual spend has ever been presented to a decision-maker with a full TCO.
